Request Access for Others (Manager)

Article summary

Request access on behalf of the people you manage — for one team member or several at once.

Who this is for: Managers and admins. This feature is only available if you manage direct reports (subordinates) in Clarity. Where it happens: Manage Access → Request Access (/access-hub/access/request-access).

A request you submit for someone else is a proxy / on-behalf-of request. It still goes through your organization’s normal approval routing — submitting for a team member is not the same as granting them access.

Step by step

1. Open the Request Access page

Click Manage Access in the left navigation, or use the Request Access quick action on the Dashboard.

2. Choose who the request is for

At the top of the page, use the Select User field:

  • It opens with you pre-selected — clear yourself if the request is only for others.

  • Search by name in the “Search Identities” box and select one or more people.

  • You can only select people within your management scope (your direct reports and their reports). The picker won’t show people outside your team.

  • Selecting multiple people creates the same request for each of them in one submission.

A help hint reads: “Select a user or profile before adding a request to your cart.” You must pick at least one person before the cart will accept items.

3. Browse and add the access they need

Use Browse available access to search, then on each bundle/entitlement card:

  1. Choose a Duration24 Hours, 7 Days, 14 Days, 30 Days, 60 Days, 90 Days, or Permanent.

  2. Click Add to Cart.

The selected access applies to everyone you chose in step 2. The cart shows “{n} Item(s) in cart.”

4. Review the cart

Click Review Request Cart (top of page) or Review Cart on the floating cart card to open the “Selected Entitlement Request Groups” summary.

5. Finalize and submit

In the summary panel:

  1. Check the “Request access for:” section — it lists every person the request will be created for. Confirm the list is correct.

  2. Set the Duration:

    • Set a duration per item in the table, or

    • Check “Set one duration for all requests” to apply a single duration to every item.

  3. Enter a shared Add Justificationrequired. The same justification applies to all selected people and items.

  4. Adjust the item table if needed (change an item’s Duration, or Remove it).

  5. Click Submit Requests.

You’ll get a confirmation that the Access Requests were submitted. Each selected person gets their own request, and the cart clears.

Reminder shown in the panel: “Duration of access will start from date of approval.”

What happens next

  • Each person’s request becomes Pending and is routed to the appropriate approver/resource owner — which may or may not be you, depending on your organization’s rules.

  • Track them from the Dashboard’s Subordinate Requests card (managers only), or on the Open Requests page. Helpful filters there:

    • The All Requests / My Requests / Need My Action toggle.

    • The Dashboard Subordinate Requests card opens Open Requests filtered to your team’s requests.

  • Each request resolves independently to Approved (provisioned) or Denied.

Tips & troubleshooting

  • I can’t find a person in Select User. They’re likely outside your management scope. You can only request on behalf of people you manage.

  • One justification for everyone? Yes — the justification and (optionally) a single duration apply across all selected people. If different people need different durations, set the duration per item in the table instead of using “Set one duration for all requests.”

  • The cart won’t take items. Make sure at least one person is selected in Select User first.

  • Do I approve these myself? Not automatically. They follow normal approval routing. If they land in your queue, see Approve a Request.
